Let an AI agent book your appointments, start to finish
An AI agent can research options, call to book, ask you questions mid call, and handle the forms and calendar. Here's the story and how a business owner could use it.
Booking an appointment sounds like a two minute job. In real life it's research, a phone call during business hours, a few questions you didn't expect, a form to fill out, and a calendar entry you forget to make. When you run a business, that's a chunk of your day you don't get back.
That's why one AI agent story this week stuck with me.
Today's tip: let your agent book it, start to finish
This one comes from Min Choi on X. His daughter hurt her foot at dance practice, and he was driving. Here's what he says his Grok Bot did:
- He told it what happened, how she was feeling, and what he saw.
- It gave him a few nearby options, including a pediatric orthopedist with X-rays on site, and offered to call when they opened.
- It called and got her in at 9:30 the same day.
- The call was transcribed live, and when the receptionist asked for more information, it asked him in real time.
- It got the insurance, payment options and pricing, had the intake forms sent to his email, and put the visit on his calendar.
He also notes the receptionist knew the call was recorded, and he could review the recording afterward. In a reply, he said the call took about seven minutes, and the only pause was when the bot asked him for details to pass along.
What I like about this is that the phone call is only one piece. The agent did the research before the call and the follow through after it. That's the whole job, not just the dialing.
How a small business owner could use this
I'm not suggesting anyone hand off a medical decision. The point is the pattern: describe what you need, let the agent find options, approve one, and let it handle the call and the paperwork. A few places I'd try that pattern in a business:
- Getting a technician out when equipment breaks. Describe the problem, ask for a few nearby options, and have the agent call when they open.
- Booking your own appointments, like a meeting with your accountant or an insurance review, without playing phone tag.
- Lining up a quote visit from a contractor or a cleaning service, and getting the details you'd normally ask for on the call.
In each case, the agent can ask you questions while the call is happening, so you're still the one making decisions. You just aren't the one on hold.
A few ground rules I'd set
- Pick the option yourself before any call goes out. Let the agent research, but you choose.
- Tell it what it's allowed to share on a call, and what it should check with you first.
- Read the transcript or listen to the recording afterward, at least the first few times.
- Make sure anything it books lands on your calendar, so nothing gets lost.
The point
AI agents and assistants are getting good at the errands that eat a business owner's day. An appointment is a small thing. But a small thing handled end to end, while you're driving or with a customer, is exactly where an agent earns its keep.
